Job Description

  1. To provide efficient day-to-day administrative support for a range of Institute activities, e.g. ongoing live projects (such as the SDI staff seed fund) and new initiatives; events, workshops and seminars (both online and in person); development and maintenance of the SDI web-pages.
  2. To respond to general enquiries about the Institute’s work (by email, telephone and face-to-face), consulting relevant colleagues where necessary.
  3. To be responsible for diary management for the Institute Director, reliably scheduling and coordinating a busy calendar of meetings and appointments.
  4. To assist with the planning and delivery of events both online and in-person, including (as required) managing registrations, preparing materials, booking rooms/venues, ordering catering, making travel arrangements, basic technical set up and liaising with key participants.
  5. To organise and support meetings (both internal and external, online and in-person), including scheduling, preparation and circulation of agenda and other papers, minute-taking etc.
  6. To keep relevant filing systems, records, mailing lists and contact databases up to date.
  7. To build positive working relationships with the SDI team and other colleagues and collaborators across UAL (including senior academic and professional services staff), maintaining a professional approach at all times.
  8. To perform other tasks consistent with your role as from time to time may be required.
  9. To act in accordance with the university’s health and safety regulations.

Personal Specification

  1. An enthusiastic self-starter with a hands-on and outcome-driven attitude to work.
  2. Demonstrable administrative experience, especially monitoring day-to-day email correspondence, diary management and note-taking.
  3. A professional and responsible attitude to work; can be relied upon to carry out tasks remotely/with limited supervision and to judge the correct degree of formality required in different situations.
  4. Ability to work collaboratively and flexibly within a small team.
  5. Excellent organisational skills and the ability to prioritise competing demands.
  6. Accuracy and attention to detail, particularly in written work.
  7. An effective communicator with a good standard of written and oral English.
  8. Strong IT skills and experience using MS Outlook, Word, Excel, PowerPoint, SharePoint and Teams.
