Job Description
Arts Temps needs a reliable Events Coordinator to work on the CoDesign4Transitions Winter School Training Week at High Holborn, UAL. Join us in making this event a success by providing essential support and ensuring everything runs smoothly.

Responsibilities include:

Pre-event preparation: 
  •  Attend briefing sessions (date to be agreed) with Project Manager and UAL lead academic for a comprehensive understanding of event logistics 
  • Conduct venue checks before the event, ensuring familiarity with the different spaces, seating arrangements and technical equipment 
  • Ensure all necessary materials such as attendance lists, printed programmes and training materials are ready 
  •  Ensure all materials for the two-day training workshop (26th & 27th) are delivered to High Holborn Doctoral school by Monday 25th noon, picking up in person if necessary
  • Briefing the videographer 
During the event (25th - 29th November):
  • Support the team delivering the two-day training workshop (26th & 27th) with setup at High Holborn on Monday evening (25th) 
  • Provide real-time assistance with any technical issues that may arise during the sessions 
  • Ensure smooth operation of each session (25th-29th)
  • Encourage all participants to sign in by reporting to you, keeping details on a common spreadsheet. Manage the attendance list daily, crucial for reporting purposes
  • Catering management - Ensuring that food is delivered on time and available in the correct places for the participants, based on pre-agreed orders, with clear guidance for participants who have special food needs (e.g., Gluten Free) 
Post-event:
  • Submit the final attendee list for each day/session to the Project Manager 
  • Ensure the videos produced by the videographer are saved in an appropriate format and uploaded to the Networks Doctoral Student Team site, through discussion with the Project Manager
