Job Description

London College of Communication (UAL) in Collaboration with London College of Fashion (LCF) is seeking a Project Admin Support Officer to provide short-term project support for the delivery of a programme funded by The British Council.  

Working alongside the Research and Knowledge Exchange Directorate Team in both colleges, the Officer role will help to arrange logistics for a week-long residential visit to London by Argentinian delegates. Delegates will be taking part in the residential 26th - 30th October.

This is a flexible support role, suited to someone with great communication skills, experience of diary management, event space booking, speaker booking, document creation, hotel, flight and travel booking.  

During the week of the residency, the Officer may be required to work across various UAL sites or external venues/sites.

The Project Admin Support Officer will support the team by: 

  • Assisting with the coordination of project dependencies and activities for a group of Argentinian Creatives in their visit to London 

  • Booking flights, hotel accommodation and local travel logistics for the visit 

  • Assisting with the production of key documents for Argentinian guests including a handbook giving key information for their visit 

  • Attend some meetings (online) between The British Council, our Argentinian partners and visit participants, along with internal Associate Deans of RKE and the Business Development and Commercialisation Manager 

  • Support the planning of catering at workshops and other resources required for workshops 

  • Maintaining project documentation and ensuring key information available to the Associates Deans and Business Development and Commercialisation Manager 

  • Helping to identify, monitor and escalate delivery risks, issues or dependencies that may impact activities 

Personal Specification

Essential 

  • Experience supporting the delivery of workshops and activities to take place both in UAL spaces and externally 

  • Strong organisational and project coordination skills.

  • Excellent communication skills and the ability to work with a range of internal and external stakeholders. 

  • A proactive, collaborative approach and the ability to manage multiple priorities. 

  • Confidence working independently while supporting a wider project team.

  • Strong writing skills and document layout skills

  • Experience of Microsoft Office tools and online booking platforms  

  • Experience of procurement and booking 

Desirable 

  • Experience working with Higher Education, cultural organisations or public-sector partners. 

  • Experience of programme/events co-ordination for professionals/academics  

  • Spanish language skills (desirable but not essential).
