Job Description

UAL is looking for a diligent and efficient administrator to support within the Digital & Technology department at High Holborn. This role best suits a candidate with previous admin experience who can adapt quickly to support the department’s services. This is a predominantly in-person role, requiring working from High Holborn for at least three days per week alongside other members of the Business Operations Team.

This role is initially a fixed term role for up to three-months, with the potential to apply for a permanent role within the team.

Responsibilities are likely to include: 

  • Delivering executive support across the Senior Leadership Team, including diary management and room bookings.
  • Supporting with departmental processes such as around recruitment, training and development, and events.
  • Ensuring spaces and equipment remain in good order, ordering replenishment of equipment as needed, and resetting space.
  • Serving as the primary point of contact for staff, students, and visitors both visibly onsite and virtually.
  • Managing correspondence via email and MS Teams.
  • Booking rooms, catering, and couriers as needed.
  • Arranging and scheduling meetings.
  • Maintaining databases and mailing lists.
  • Performing additional duties as assigned, adhering to University policies on health and safety, equality, diversity, data protection, and financial regulations.

Personal Specification

Ideal candidates should possess the following qualities:

  • Previous experience in an administrative support role, including diary management and inbox management.
  • Proficient in Office 365, including Word, PowerPoint, Teams, and MS Excel.
  • Experienced in providing support both in person and virtually.
  • Communicates effectively through oral and written media.
  • Capable of planning, prioritising, and organising work to meet deadlines.
  • Works collaboratively within a team and across different professional groups.
  • Delivers positive and responsive customer or student service.
